Administrative Finance Associate

The Billing & Administrative Clerk supports the financial, administrative, and project documentation needs of a small construction company.

This role is responsible for accurate and timely billing, accounts payable and receivable processing, and maintaining organized administrative workflows.

Construction industry experience is required, as the position interacts closely with project managers, subcontractors, and vendors to ensure smooth financial and operational processes.

Key Responsibilities

1. Billing & Financial Administration

- Review, file and submit invoices based on projects, descriptions, and payment terms.
- Process accounts payable and accounts receivable, including data entry, coding, and reconciliation.
- Track outstanding receivables and follow up on overdue accounts.
- Enter vendor invoices, statements, and vendors into the accounting system.
- Assist with job costing by allocating expenses to the correct projects.
- Support payroll preparation by collecting and verifying employee and subcontractor timesheets.
- Support HR with onboarding and benefits enrollment.
- Support HR and Finance with benefits billing and employee deductions.
- Coordinate with the finance team for month-end and year-end processes.

2. Administrative & Office Support

- Maintain organized digital and physical filing systems for contracts, change orders, permits, insurance certificates, and project documentation.
- Answer phones, respond to emails, and direct inquiries to appropriate team members.
- Receive, scan and distribute paper mail to the appropriate team members.
- Order office supplies and maintain inventory.
- Assist with onboarding tasks such as collecting employee paperwork and setting up personnel files.
- Maintain company calendars and administrative reminders.

3. Construction-Specific Administrative Tasks

- Track daily reports, A/P and A/R schedule, equipment logs, and subcontractor documentation.
- Assist with safety compliance, certifications and training.
- Prepare and distribute subcontractor agreements and ensure certificates of insurance are current.
- Maintain vehicle list, registrations, insurance and driver credentials.
- Update project logs, spreadsheets, and status reports as needed.

Required Qualifications

- Construction industry experience is required.
- Strong understanding of accounts payable, accounts receivable, and data entry processes.
- Proficiency with Microsoft Office (Excel, Word, Outlook).
- Experience with accounting or construction management software; knowledge of Viewpoint is helpful but not required.
- Strong organizational skills and attention to detail.
- Ability to manage multiple tasks in a fast-paced environment.
- Excellent communication and customer service skills.
- Ability to work independently and collaboratively with field and office staff.

Preferred Qualifications

- Experience with job costing or project-based accounting.
- Familiarity with subcontractor compliance requirements (COIs, W-9s, lien waivers).
- Prior experience in a small business environment where roles are cross-functional.

The Junior Construction Estimator supports the preconstruction and estimating team by assisting with cost estimates, quantity takeoffs, and subcontractor pricing for multifamily residential projects.

Assist in preparing quantity takeoffs for multifamily residential projects

Assist project teams with budget updates, change order pricing, and buyout support

Key Responsibilities

- Assist in preparing quantity takeoffs for multifamily residential projects, including wood-frame, podium, and mixed-use buildings
- Support the development of conceptual, schematic, and detailed construction cost estimates
- Review architectural, structural, MEP, and civil drawings to understand project scope
- Help solicit subcontractor and supplier pricing and track bid responses
- Assist with bid leveling, scope reviews, and comparison analyses
- Maintain organized estimate files, pricing logs, and subcontractor databases
- Participate in preconstruction meetings and internal estimate reviews
- Support value engineering and cost-saving analyses under guidance of senior estimators
- Assist project teams with budget updates, change order pricing, and buyout support
- Perform basic market research on labor, material pricing, and trade availability

Required Qualifications

- Bachelor’s degree in Construction Management, Engineering, Architecture, or related field
(or pursuing degree with relevant experience)
- 0–3 years of construction or estimating experience (internships and co-ops welcomed)
- Basic understanding of construction methods, materials, and building systems
- Ability to read and interpret construction drawings and specifications
- Strong attention to detail and willingness to learn

Preferred Qualifications

- Exposure to multifamily or residential construction projects
- Familiarity with estimating and takeoff software
(e.g., Bluebeam, On-Screen Takeoff, ProEst, Sage, or similar)
- Basic proficiency in Excel
- Experience with Procore or similar project management platforms (a plus, not required)
